This article provides guidance on how Portfolio DAM product licensing works, including activation, subscription management, and common licensing scenarios.
How licensing works
Portfolio DAM uses an account-based subscription model. Licenses are associated with a Portfolio DAM account (identified by an email address) rather than tied to specific hardware. This allows for flexible deployment and easier license management.
To activate Portfolio, the server must be able to connect to cwsg.extensis.com on port 443. Ensure this connection is permitted by your firewall. For environments where outbound internet access is restricted, contact support for offline activation options.
Managing your subscription
- Viewing your licenses: Log in to Portfolio Administration and navigate to the Licenses panel to view your current subscription details, including seat count, asset limits, and expiration date.
- Adding seats or modules: Contact your Portfolio DAM account representative or submit a request to add client seats, asset packs, or add-on modules. After your order is processed, re-enter your credentials in Portfolio Administration to refresh the license information.
- Transferring licenses: Licenses are tied to the account email address. To transfer a license to a new account, contact Portfolio DAM Support.
What happens when a subscription expires?
If your Portfolio subscription expires:
- Portfolio Server will continue to run in a limited read-only mode for a grace period.
- New asset ingestion and client connections may be restricted after the grace period ends.
- Your catalog data is preserved and will be fully accessible once the subscription is renewed.
To renew your subscription, contact your account representative or contact Portfolio DAM Support.
Finding your license manager account
Portfolio licenses are owned by a designated license manager account — the Portfolio DAM account used to purchase or register the subscription. If you are unsure which account owns your licenses, check the email address shown in Portfolio Administration under Licenses > Account, or contact Portfolio DAM Support.
