Any person that needs to access Portfolio through a client application needs to have a Portfolio user account.
You assign each user a role in a catalog to let them access assets in that catalog. A user’s role within a catalog determines what they can do with assets in that catalog.
There are two types of user account: Native and Directory Service.
You create Native Portfolio accounts within Portfolio. Native account users must log in manually and you can’t assign a role to an account as part of a group.
An Active Directory (AD) service on your network provides Directory Service accounts. These give users access to resources on your network.
A catalog can accommodate both native and Directory Service accounts.
An individual user may need to perform different tasks with assets in different catalogs.
You give a user access to a catalog by assigning them a role in that catalog.
There are four roles, with increasing capabilities: Reader, Editor, Publisher, and Catalog Administrator.
The Reader role is for users who primarily need to find assets. Editor is for users who need to enter data about existing assets. Publisher is for users who need to add assets to or remove assets from a catalog. A Catalog Administrator can perform any action on assets within the catalog, and change some aspects of the catalog itself (in Portfolio Administration).
For details, see Roles.
The Portfolio Administrator can set the default role for users. When adding a new user, this is the role that’s selected in the pop-up for the option Add user to all catalogs as: (role).
To change the default role, click Catalogs, select any catalog, then choose the new default role from the pop-up menu in the Catalog Defaults panel.
