Use the Organizers panel to:
change catalogs;
work with built-in organizers;
work with galleries; and
work with folders.
Portfolio Web and Desktop work with one catalog at a time. To change catalogs, click the pop-up menu at the top of the Organizers panel and choose a new catalog.
The menu lists only the catalogs that you have access to; if you don't see the catalogs that you expect, ask your Portfolio Administrator for access.
Portfolio Web and Desktop include three built-in organizers for your convenience.
All Assets displays all assets in the catalog. You can do anything with these assets, but this is especially convenient for finding assets that you want to include in other galleries.
Flagged Assets displays assets that you have flagged. For more information, see Working with Flagged Assets.
Checked Out Assets (only available in vault catalogs) displays assets checked out by any user. See Checking out assets for more information.
You can work with assets in the built-in organizers just as you can in any gallery or folder.
You can add galleries, delete galleries and change gallery properties.
To add a gallery, click + at the bottom of the Organizers panel and choose Add Gallery from the pop-up menu.
To delete a gallery, select it in the Galleries list and click − at the bottom of the Organizers panel.
To edit a gallery, right-click it and choose Edit Gallery from the shortcut menu.
To filter the Galleries list, click the search field and type some text in the field above the Galleries list.
To mark a gallery as a favorite, move the mouse pointer to the right end of the gallery’s listing, then click the star icon that appears.
For more information on creating and editing galleries, see Creating a new gallery.
For details on adding assets, see Adding assets to a gallery.
For more about removing assets from a gallery, see Removing assets from a gallery.
Folders work differently depending on whether the catalog is a vault catalog or a Watch Folder catalog.
In a vault catalog, folders are primarily to give your assets an organizational structure, and are totally optional.
In a Watch Folder catalog, folders provide organization but also provide a mechanism for cataloging files and keeping cataloged assets up-to-date.
To create a subfolder, select a folder or subfolder, click + and choose New Subfolder.
To delete a subfolder and all its contents, select it and click − .
Each vault catalog has a main folder whose name is the same as the catalog. Unless you create subfolders
within this folder, all files you add to the catalog will be placed into this folder.
Subfolders can be used to temporarily or permanently organize assets stored in the vault catalog.
You can upload assets to a subfolder, and move assets between subfolders or between a subfolder and the main catalog folder.
Portfolio uses Watch Folders and subfolders
to keep cataloged assets up-to-date when the file on disk changes.
Portfolio “keeps an eye” on Watch Folders for any changes, and re-catalogs any files that have changed.
Usually, the Portfolio Administrator will create a Watch Folder when he creates the catalog; the Catalog Administrator can create additional Watch Folders from within the Portfolio Web or Desktop clients.
Subfolders are folders inside of Watch Folders. All folders inside a Watch Folder are accessible to the Portfolio Web and Desktop clients as subfolders, whether they are created using a Portfolio client or directly using the operating system. (Folders that have special permissions or restrictions applied, and operating system folders, may not be accessible as subfolders of Watch Folders.)
