You can generate reports about Portfolio assets for a single catalog or all catalogs. The reports available are:

• Assets - Uploads: This report lists the assets, their catalog, who uploaded each, and when each was uploaded.

• Assets - Most Downloaded: This report lists the assets that have been downloaded and how many times each has been downloaded.

• Assets - Most Previewed: This report lists the assets that have been previewed and how many times each has been previewed.

• Assets - Deletions: This report lists the assets that have been deleted, the catalog each was in, who deleted each, and when each was deleted.

• Assets - Downloads: This report lists the assets that have been downloaded, the catalog each was downloaded from, who downloaded each, and when each was downloaded.

• File Types: This report shows two pie graphs: one showing the number of files cataloged by extension, the other showing the total size of files for each extension.

• Search Terms: This report lists each term that was searched using QuickFind in a Portfolio client or NetPublish, and how many times each term was searched from each source.

• Keyword Statistics: This report lists the keywords in use, their frequency, and which keywords have been added as Smart Keywords.

• NetPublish - Usage: For a selected date range and site, this report identifies which users downloaded which assets, and when. (This report requires a NetPublish license.)

• NetPublish - Most Downloaded: For a selected date range and site, this report identifies which assets were downloaded and how many times each was downloaded. (This report requires a NetPublish license.)

Enabling NetPublish site reporting

In order for Portfolio to gather data for NetPublish reports, you must enable data collection for your NetPublish sites.

This is done through the NetPublish feature in the Portfolio Web or Desktop client.

To enable NetPublish Report data collection:

1. Open the Web or Desktop client.

2. Select a catalog.

3. Click NetPublish in the main toolbar at the top of the client window.

4. In the Site Builder, choose Edit Existing Site, then choose a site from the pop-up menu.

5. Under Reporting, select Collect site data.

6. Specify the number of days to retain report data.

7. Click Publish Now.

Repeat this for each site that you want to gather report data for.

Generating a report

You can view report data in your browser, or download a report in the form of a tab-separated values (.TSV) text file that can be opened in a spreadsheet program, text editor, or word processor.

To generate a report:

1. Click Reports.

2. Select a report.

3. • For the Assets and Search Terms reports:

     1. Choose a catalog or All Catalogs from the pop-up menu.

     2. Select the starting date (From) and ending date (To) for the report.

     3. Click View Report to open a new browser tab or window with the report data, or click Download Report to download the report data.

   • For the File Types and Keyword Statistics reports:

     1. Choose a catalog or All Catalogs from the pop-up menu.

     2. Click View Report or Download Report.

   • For the NetPublish reports:

     1. Click the Site pop-up menu and select the site that you want to report on, or select All Sites to generate a report on all sites for which reporting data is saved.

     2. Select the starting date (From) and ending date (To) for the report.

     3. Click View Report or Download Report.

Reports are downloaded to your browser’s Downloads folder. Open report files with your favorite spreadsheet application.
