Custom catalog templates

If you expect to create multiple catalogs using the same custom settings, you can create a template to use as the basis for new catalogs.

You can use an existing catalog as a template, or create a new catalog specifically for the purpose.

A saved template retains the parent catalog’s fields, metadata mappings, and cataloging options settings. It does not include any users or data added to the parent catalog.

Settings that you specify for your template will be used as defaults for catalogs based on the template, but can be modified for each catalog.

To create a template:

  1. Click Catalogs.

  2. Select a catalog to use as the basis for the template, or create a new catalog for the purpose.

    If you are creating a new catalog, you should use the General Use template as a starting point; it includes all the System Fields. We also recommend creating the template as a Watch Folders catalog without an AutoSync folder.

  3. With the template catalog selected, click Fields and make sure the desired fields are included, especially any custom fields that you need for your catalogs.

  4. Click Ingest, then click Cataloging Options. Make sure the desired Keywords, Exclusions, and File Type options are selected.

  5. Click Managed Upload. Enable or disable the Managed Upload option, specify a form header, add fields to the upload form, then click Apply.

  6. Click Previews and specify options for preview images and clips, then click Apply.

    Note: You don’t need to change the default location for the Previews folder; catalogs based on your template will have this set based on the global Portfolio setting. See Previews folder.

  7. Click Smart Keywords. Enable or disable Smart Keywords, and set Smart Keyword options.

    These settings will be used as defaults for catalogs created from your new template, but can be modified for each catalog.

  8. Click General, click Save Catalog Template, enter a name for the template, then click Save.

The new template will be available from the Catalog Template drop-down menu the next time that you create a catalog.

Editing a template

While you can’t edit a template directly, you can effectively modify the template by editing its original parent (or a new catalog based on the template) then saving a new template.

Renaming a template

To rename a template:

  1. Click Catalogs, select a catalog, then click Manage Catalog Templates.

  2. Double-click a template, type a new name, then click Save.

  3. Click OK when you are done managing templates.

Deleting a template

To delete a template:

  1. Click Catalogs, select a catalog, then click Manage Catalog Templates.

  2. Select a template, click , then click OK in the confirmation dialog.

  3. Click OK when you are done managing templates.
