Converting a Watch Folder catalog to a Vault catalog

Portfolio offers two types of catalogs: Watch Folder catalogs and Vault catalogs.

Vault catalogs offers a number of advantages over Watch Folder catalogs, including the ability to check assets in and out, and maintaining versions of assets.

While there is no way to directly convert catalogs, this process describes copying the contents of a Watch Folder catalog to a Vault catalog.

Important: If you have modified the fields or metadata mapping of your Watch Folder catalog, you should save the catalog as a custom template to use with your Vault catalog. See Custom catalog templates.

To copy a Watch Folder catalog to a Vault catalog:

  1. Create a new Vault catalog using the same template as the Watch Folder catalog.

  2. Use the Portfolio Web or Desktop client to copy assets from the old Watch Folder catalog to the new Vault catalog.

    1. Right-click the All Assets organizer and choose Copy/Move Contents from the shortcut menu.

    2. In the Copy/Move dialog, select Copy, select your Vault catalog as the Destination Catalog, select the Destination Folder, then click Copy.

    3. Click OK in the confirmation dialog.

If your original catalog had galleries, you will need to re-create them in the new catalog. You will also need to assign users with the desired roles to the new catalog.

When you are sure that your Vault catalog is complete and works as expected, you can delete the original Watch Folder catalog.

Note: This process can be completed by a Catalog Administrator who has access to both the Watch Folder and Vault catalogs. The destination Vault catalog needs to be created by the Portfolio Administrator, and the original Watch Folder catalog can only be deleted by the Portfolio Administrator.
