When you have a vault-based catalog, you can check an asset out in order to make changes to it, then check it back in.
When an asset is checked out, nobody else can make changes to the asset, including changing its properties.
When the asset is checked back in, a new version of the asset is created so that your catalog maintains a history of changes made to assets.
To check out an asset:
Select the asset in the main window.
Click the lock /
icon and choose Check Out.
When you have marked assets to be checked out, you can download them at any time.
To check out multiple assets:
Select the assets in the main window.
Right-click in the selection and choose Check Out Selection.
Select the assets to download in the main window.
Click Downloads in the main toolbar and choose Download Originals.
Portfolio will download the selected assets.
If you have selected a single asset, it will be downloaded as a normal file. If you have selected multiple assets, they will be downloaded in a .ZIP file.

When you have finished making changes to an asset and want to return it to the catalog, you need to check it back in.
To check in a single asset:
Click the checked out icon below the asset’s thumbnail and choose Check In.
In the dialog, enter a comment about the edits made to the asset while it was checked out.
To upload the modified file, click Select Files, then select the file to upload.
The selected file must have the same name as the file that was checked out.
You can check the asset in without selecting a replacement file; in that case, any comments that you enter will be added to the asset version.
Click Check In.
To check in multiple assets:
In the main window, select the assets to be checked in.
Right-click in the selection and choose Check In Selection.
In the dialog, enter a comment about the changes made to the files while they were checked out.
To upload modified files, click Select Files, then select the files to upload.
The files you select must have the same names as selected assets. If you do not upload a file for one or more of the selected assets, a version of those assets will be created, and the comments you entered will be added to those versions, but the actual files will not be changed.
If you have checked an asset out but decided you don’t need to change it, you can revert the checkout.
Click the checked out icon below the asset’s thumbnail and choose Revert Check Out.
In the prompt, click OK to revert the asset to the state it was in when you checked it out.
Note: Reverting a checked out asset will also revert any changes you made to the asset properties while it was checked out. If this was not your intent, you can check the asset in without uploading a file.
