When you make a change to an asset in a vault-based catalog, Portfolio will automatically create a version of the asset.

This means that when you check out and edit an image, video, or document, then check it back in, the unedited copy is still available should you need to return to it.

An asset version is also created when you edit an asset’s properties. To avoid creating an overabundance of asset versions, Portfolio will create one version that includes all the property edits that you make within a certain span of time.

To view an asset’s versions, click the lock icon / below the asset’s thumbnail and choose Versions from the menu.

To retrieve a specific version of an asset, click the lock icon, choose Versions, then click  next to the desired version.

Reverting to a previous version

In order to revert to a previous version of an asset, you need to download the desired version (see above), then add it to the catalog.

We suggest that you perform these steps:

1. Download the desired version of the asset.

2. Modify the description of the current asset to indicate it is not to be used.

3. Lock the current asset so that it cannot be used or modified. (See Locking assets.)

4. Catalog the downloaded version of the asset.

Instead of locking the current version of the asset, you could delete it from the catalog; doing this will delete it and all previous versions. (See Deleting assets.)
