A Watch Folder catalog keeps track of the files in one or more folders (called AutoSync or Watch Folders); when a user adds or changes a file in one of these folders, Portfolio sees the change and updates the catalog as necessary (by cataloging a new file or updating new or modified metadata from a changed file).
A Watch Folder catalog can have an AutoSync folder that is created at the time the catalog is created. A Catalog Administrator can add multiple Watch Folders to a catalog to improve the workflow for individual users.
A new Watch Folder must be on a share that is accessible by the Portfolio server system.
If your Portfolio server is running on macOS, the folder must be on a volume that is mounted on the Portfolio system, and the user account that Portfolio is running under must have read/write access to the folder.
If your Portfolio server is running on Windows Server, the folder must be accessible through the network to the Portfolio user account, and this user account must have read/write access to the folder.
A Catalog Administrator can add Watch Folders to a catalog from the Portfolio Web or Desktop Client.
To add a Watch Folder:
Open your browser and start Portfolio Web, or launch the Portfolio Desktop client.
At the bottom of the Organizers panel, click + and choose New Watch Folder.
Enter a folder path or browse and choose the folder to watch.
Select a synchronization setting:
When changes are found: Portfolio continually watches the folder and synchronizes with the server when a change is found.
When a user selects Synchronize Folder: The folder is synchronized manually. To synchronize, right-click the folder in the Organizers panel and choose Synchronize Folder from the shortcut menu.
Every (time interval) : The folder will be synchronized at regular intervals. Choose a time interval from the pop-up menu.
Check Remove missing assets from Catalog to have a catalog entry removed if its associated asset is no longer present in the Watch Folder.
Click Save to create the Watch Folder.
To change the synchronization settings for a Watch Folder:
In the Web or Desktop Client, double-click the Watch Folder in the Organizers panel.
Change the desired settings and click Save.
You cannot change the synchronization settings for an AutoSync folder that was created with the Watch Folder catalog.
