Adding Assets

Portfolio’s reason for being is to keep your assets organized and accessible. In order to do this, you need to add assets to your catalog. You and other users may also benefit by grouping your assets into galleries.

There are a number of ways to add assets to a catalog:

  • You can upload files to Portfolio directly from the Portfolio Web or Desktop client. (This works with either Watch Folder or Vault catalogs.)

  • You can add files to a Watch Folder on a computer on your network. A Catalog Administrator or Publisher can create folders for Watch Folder catalogs using either the Portfolio Web or Desktop client. (The Portfolio server needs to have access to the Watch Folder in order to catalog files in it.)

  • You can upload files from your iPhone®, iPad®, or Android™ device using Portfolio Flow.

Galleries

Galleries can be very useful in identifying groups of assets.

A gallery is like a playlist of assets: you can add assets to the list but they never leave the safety of the catalog.

Galleries can be permanent or temporary, and can be private or public.

A private gallery is only accessible to the user that creates it.

A public gallery can be seen by all members of the catalog. The creator can make it read-only so that other members can use the gallery but can’t add or remove assets from it.

Smart Galleries

You create a smart gallery using search criteria. Portfolio creates a list of the assets that match certain search criteria, like video files with the keyword “kitten”.

This makes it simple to save frequent searches and have the up-to-date results available instantly.

Adding metadata

Once you have cataloged some assets, you will need to add keywords and other searchable information. You may even need to modify the contents of an asset.

Portfolio provides tools to add, import, and export metadata and to check out, modify, and check in assets.

Finding assets

With keywords added to assets in your catalog, you and other users can use Portfolio’s tools for finding assets.

QuickFind lets you immediately search common metadata fields for certain text.

Advanced Find lets you specify multiple search criteria to narrow your search.
